An organisation processing a high volume of structured applications was running the process through email, shared folders and paper files. Applicants telephoned to ask where their file had reached, and staff had to search several places to answer. Nobody could say reliably how many applications were waiting at each stage.

An application is registered, supporting documents are collected and verified, the file passes through more than one level of approval, an appointment is issued, the applicant checks in, payment is recorded, and the outcome is registered against the file.

• Application registration with document collection, document verification and document status tracking.
• Passport and document data processing with MRZ-based data capture, so identity details are read from the document rather than retyped.
• Multi-level approvals with approval requests routed to the right department and role.
• Appointment creation, barcode-based processing, QR-code receipts and check-in workflows.
• Payment recording, staff dashboards, customer-facing status information, reporting and full audit trails.
